Client Background

This Client is a start-up pharmaceutical company headquartered in California, with more than 300 employees across the United States and plans for rapid expansion, including future operations in Europe. The organization operates with a lean corporate structure and a strong growth trajectory, with plans to double its workforce within 18 months.

At the time of engagement, the Client’s HR technology environment consisted of Paylocity for Core HR, Payroll, Time & Attendance, Onboarding, Performance Management, and Compensation Management, along with several point solutions supporting Benefits, Recruiting, and Learning Management. In addition, a number of manual processes were still being managed through Microsoft Office tools, creating inefficiencies and limiting scalability.

The Challenge

With aggressive growth plans, international expansion on the horizon, and a goal of doubling headcount within a short timeframe, the Client recognized that its existing HR technology landscape would not support its future-state needs. The combination of multiple systems and manual processes created inefficiencies, limited data visibility, and hindered the ability to establish a true “one source of truth” for HR data.

Additionally, the Client needed to identify a scalable HCM solution that could support both current operations and long-term growth, without requiring another system evaluation in the near future. Achieving alignment among leadership on system requirements, priorities, and vendor selection criteria was critical to ensuring a successful outcome.

The Project

The Client engaged HRchitect to lead a comprehensive HCM vendor evaluation and selection initiative using HRchitect’s Secure Selection Methodology.

The project began with stakeholder alignment and engagement, including the Client’s CHRO and VP of HR Operations. HRchitect designed and deployed surveys across all functional HR areas to capture and prioritize business requirements, followed by analysis of survey results and targeted discovery sessions to define the organization’s future-state needs.

With a goal of establishing a unified, scalable platform, the Client determined that a full-suite HCM solution would be preferred, provided it met key decision drivers such as usability, configurability, technology, support, and overall return on investment.

HRchitect then presented an overview of the HCM marketplace and recommended a shortlist of vendors aligned to the Client’s requirements and growth trajectory. Although the Client was considered a small-to-mid-sized business, HRchitect advised evaluating mid-market and enterprise-level solutions to better support future expansion.

An RFP process was conducted, with three selected vendors participating. HRchitect evaluated vendor responses and developed a comprehensive RFP Summary Report, enabling an objective, side-by-side comparison of each solution. The team also created demonstration scripts, facilitated vendor demos, and coordinated follow-up sessions to ensure all functional requirements were thoroughly assessed. Throughout the process, HRchitect supported due diligence efforts, including reference checks, to help the Client make a confident, informed decision.

Although contract finalization was delayed due to a change in executive leadership, the organization is well-positioned to move forward with a phased implementation approach once internal resources are aligned.
