This HRchitect client is a bus manufacturing organization headquartered in rural Georgia, employing approximately 1,200 individuals across corporate and manufacturing environments. About 200 employees are based in the corporate office, while the remaining 1,000 work in manufacturing plants.

The organization had been utilizing the Ultimate Software UltiPro platform for over a decade, alongside Taleo Business Edition for recruiting and a standalone time and attendance system. Despite this investment, the client was not fully leveraging the capabilities of their existing technology stack.

The Challenge

The client faced significant operational challenges driven by both technology limitations and workforce dynamics. With 100% annual turnover in manufacturing roles, the organization needed to hire approximately 1,000 hourly employees each year, placing immense pressure on recruiting and onboarding processes.

At the same time, the lack of scheduling functionality and rules-based calculations in the time and attendance system created a heavy administrative burden for HR. Recruiting processes were largely manual due to limited onboarding tools, candidate workflows, and reporting capabilities, making it difficult to operate efficiently in a high-volume hiring environment.

Additionally, HR leadership lacked clarity on whether to optimize their existing UltiPro system or transition to a new solution, creating a need for a comprehensive technology assessment and strategic direction.

The Project

HRchitect was engaged to conduct a full HR technology assessment, including a needs analysis, future-state requirements discovery, and evaluation of the client’s existing UltiPro platform.

Through collaboration with the client’s HR team, HRchitect identified key gaps in talent acquisition and time and labor management capabilities. Based on these findings, HRchitect recommended a strategy focused on optimizing the current UltiPro system while evaluating targeted solutions for recruiting and time management.

To support this strategy, HRchitect led two formal RFP processes, one for Talent Acquisition and one for Time & Attendance. After developing detailed requirements, HRchitect facilitated vendor evaluations, coordinated demonstrations, and guided the client through a structured scoring process to ensure an objective, data-driven selection.

The Results

Following a thorough evaluation process, the client selected Ultimate Software, now UKG, to support both Talent Acquisition and Time & Attendance, aligning with their priority of maintaining a unified, full-suite solution.

A key factor in this decision was the realization that standalone solutions did not provide sufficient incremental value to justify the added cost and complexity. By consolidating systems, the client achieved a more streamlined technology environment and reinforced a “single source of truth” for employee data.

The client is now actively optimizing their UltiPro, now UKG Pro, platform while implementing the newly selected modules. Early results show a significant reduction in administrative workload, driven by increased automation in recruiting, onboarding, and time management processes.
