Client Background

This client is a rapidly growing, U.S.-based credit union headquartered in California. At the start of the engagement, the organization had approximately 500 employees and expanded to 800 employees during the course of the project through acquisitions.

The client’s HCM technology landscape consisted of multiple point solutions across key HR functions, including payroll, core HR, recruiting, learning management, and performance management. While these systems supported day-to-day operations, they operated largely independently, limiting efficiency and scalability as the organization continued to grow.

The Challenge

As the organization expanded, the limitations of its fragmented HCM technology environment became increasingly apparent. Disconnected systems created inefficiencies across HR processes, requiring manual workarounds and preventing the establishment of a seamless, end-to-end experience for HR, managers, and employees.

Additionally, key functions such as performance management and compensation relied on outdated or manual processes, including spreadsheets, which increased administrative burden and risk of error. The lack of integration across systems also made it difficult to maintain consistent data and reporting across the organization.

With continued growth and acquisitions on the horizon, the client recognized the need for a scalable, future-ready HCM technology strategy. They required a clear path forward to rationalize their existing systems, identify gaps, and select solutions that would support both current operations and long-term business objectives.

The Project

HRchitect partnered with a rapidly growing credit union to develop a comprehensive HCM technology strategy and guide the organization through vendor evaluation and selection. At the start of the engagement, the client relied on a variety of disconnected systems across HR, payroll, recruiting, learning, and performance management, resulting in inefficiencies and a lack of cohesive processes.

The primary objective was to establish an end-to-end HCM technology framework that would support HR, managers, and employees with streamlined, integrated processes. HRchitect led a multi-faceted discovery phase, which included detailed assessments of current systems, processes, and business objectives, as well as defining the client’s desired future state.

Based on this analysis, HRchitect recommended retaining the client’s existing recruiting and learning management systems, as they were effectively meeting business needs. However, opportunities for improvement were identified in payroll, core HR, performance management, and compensation processes. HRchitect advised the client to evaluate and select new solutions in these areas to better align with organizational goals and support continued growth.

HRchitect then led the vendor evaluation process, including RFP development and distribution, vendor demonstrations, and due diligence. Five vendors were assessed, with a focus on identifying a solution that could meet both current requirements and scale alongside the organization’s expansion.
