Pre-Implementation Planning prepares HealthCare Group for Success
Client Background
This Client is a healthcare organization based in Ontario, Canada, focused on delivering essential services across its region. As part of its efforts to modernize workforce operations, the organization selected UKG Pro Workforce Management to replace its legacy time collection system.
With a goal of improving operational efficiency, the Client aimed to use the new platform as an opportunity to reassess and refine existing processes. Years of legacy configurations had created complexity within their system, and the organization was motivated to streamline operations and establish a cleaner, more standardized foundation for the future.
To support both the implementation and the preparatory work leading up to it, the Client partnered with HRchitect, a trusted UKG partner.
The Challenge
As the Client prepared for implementation, it became clear that their existing processes and system configurations required significant review and cleanup before moving forward.
The organization had accumulated years of legacy configurations, which introduced inefficiencies and inconsistencies across workforce management processes. There was a strong desire to “start fresh” by consolidating and standardizing these processes, but the internal team lacked the capacity to complete this work independently.
With a relatively small project team and an approaching implementation kickoff, the Client faced the challenge of balancing day-to-day responsibilities with the extensive preparation required for a successful deployment. Without proper planning and documentation of current-state processes, the implementation risked delays, rework, and missed opportunities for optimization.

The Project
To address these challenges, the Client engaged HRchitect to lead a structured Pre-Implementation Planning engagement in advance of the UKG Pro Workforce Management deployment.
Over a six-week period, HRchitect guided the Client through a series of strategic planning and discovery activities designed to prepare the organization for a successful implementation.
The engagement began with comprehensive project planning, including defining project objectives, establishing success criteria, identifying key stakeholders, and documenting potential risks along with mitigation strategies. This foundational work ensured alignment across the project team and created a clear roadmap for the upcoming implementation.
Following the planning phase, HRchitect facilitated a detailed review of the Client’s current-state processes and system configuration. This included evaluating business structures, payroll processes, and job codes, as well as identifying opportunities for standardization across policies and procedures.
Additionally, the team worked together to define key reporting requirements, ensuring that the future system would deliver meaningful insights aligned with the Client’s operational needs.
All findings and decisions were documented in a comprehensive workbook, which was delivered to the implementation team. This significantly reduced the need for extensive discovery during the implementation phase and enabled a more efficient project timeline.
