The Challenge
Key Energy faced several challenges with its existing Workforce Management system that limited efficiency and increased administrative burden.
One of the primary issues was the lack of automation in calculating employee pay. Due to the complexity of oilfield work, employee pay rates varied based on factors such as time of day, job role, and equipment used. The existing system required administrators to manually review and adjust timesheets to ensure accurate pay, resulting in significant time investment and increased risk of payroll errors.
Additionally, managers were required to navigate multiple systems to complete routine approvals, including timesheets, time-off requests, and other operational workflows. This fragmented experience created inefficiencies and took valuable time away from more strategic responsibilities.
Finally, the client experienced ongoing dissatisfaction with the level of customer support from their previous vendor, including slow response and resolution times. This further hindered productivity and reinforced the need for a more reliable and scalable solution.

The Project
The dedicated consulting team at HRchitect worked alongside the Key Energy team to ensure the implementation of the new Workforce Management system was a success. HRchitect determined resolutions to each and every Workforce Management need, and implemented the WorkForce Software platform in order to meet each of those requirements.
Using complex configuration of the WorkForce Software solution, HRchitect was able to automate the process of pay rate differentials and decrementing. Based on employee data, activity based costing selection, the time of day, and several other factors, HRchitect automated all pay rate changes alleviating the need to have administrators review and manually update that information. WorkForce Software also offered the capability of using APIs to complete approvals outside of the Workforce Management system.
The Key Energy team created an HTML5 and Web Services Method that HRchitect interfaced between WorkForce Software and Key Energy’s external platform. In doing so, managers could now log in to only one system and complete all approvals, such as timesheets and time off requests at the same time and with seamless integration.
With a successfully implemented Workforce Management system that handled everything Key Energy needed, the last piece of the puzzle revolved around the customer experience.
