Our Client, a major automotive repair company, operates across all 50 states with a workforce of over 4,200 employees. This diverse workforce includes both salaried and hourly employees, as well as integration with third-party data-as-a-service platforms like Snowflake.

After a year of using the ADP system, the Client realized the need for a more integrated and efficient HR solution. Their existing system presented workflow disparities and required numerous manual processes, leaving the HR team overwhelmed and in need of a streamlined approach.

The Project

Solution Selection:

Following an in-depth evaluation, the client chose the comprehensive UKG Suite, which includes UKG Pro HR & Payroll, UKG Pro Workforce Management, Benefits Administration, and HR Service Delivery. The decision was driven by the need to eliminate manual tasks and paper-based reports, transitioning to a unified digital platform to enhance efficiency and connectivity.

Project Details:

The implementation, scheduled for a January 1st go-live, followed a phased approach with a midmarket implementation methodology. Phase 1 encompassed HR Payroll, Workforce Management, and Benefits Administration, while Phase 2 integrated HRSD, Recruiting, and Onboarding modules. Although the implementation was completed using a phased approach, Talent and Onboarding were brought on concurrently.

The implementation kicked off in April 2023 and did not encounter any delays or pushes for an advanced go-live date by the Client. While the timeline for this implementation was longer than normal, both HRchitect consultants and the Client noted how this timeline was necessary; the consultants needed to implement the whole UKG Suite and integrate 3rd party software services, like Snowflake, into the Client’s new UKG system.

The HRchitect team, comprising three dedicated consultants and an additional consultant shadowing the project, collaborated closely with the Client’s cross-functional team, including their HRIS Manager, HR Manager, Executive Sponsor, and payroll specialists. Noteworthy tasks during the implementation included:

  • HRchitect consultants went on-site various times throughout the implementation to assist the Client with a hands-on approach.
  • California rules associated with configurations required consultants to work closely with UKG.
  • Different pay codes had to be created for the Client due to their expansive presence across all 50 states.

Despite encountering software performance issues during the final stages of the implementation, the collaborative efforts of the UKG services team, the Client’s team, and HRchitect consultants ensured a timely resolution, which led to the successful completion of the implementation and the Client’s very first payroll going through without a hitch. This collaboration between UKG, the Client, and HRchitect consultants, paired with HRchitect’s commitment to delivering an end-to-end solution for the Client, was why this implementation was completed on time.

With the initial implementation completed, HRchitect continued to bolster the Client’s adoption of their new system through comprehensive working sessions and ongoing assistance.
