Multi-State Banking Alliance

Client Background

A banking alliance supporting nearly three dozen separately managed and branded associations, with 4,500 employees, and headquartered in South Carolina, was using Lawson’s on-premise solution for Core HR, Benefits, and Payroll. This organization also used PeopleSoft for time tracking and for their General Ledger. They also had numerous unintegrated, and often manual solutions for their recruiting, learning, and compensation processes across the associations.

The Challenge

The client faced challenges with disparate HR systems, limited integration, and a lack of centralized data, which made it difficult to gain visibility into workforce metrics and maintain efficient processes across entities. Additionally, aligning stakeholders across multiple business units and geographies created complexity in defining requirements and priorities. The organization needed a clear HCM technology strategy and a structured approach to evaluate and select a solution that would meet both current and future needs.

The Project

The client engaged HRchitect to lead a comprehensive HCM technology evaluation and selection initiative using HRchitect’s proven Secure Selection Methodology. The engagement began with an in-depth discovery phase, which included stakeholder surveys and working sessions across multiple business units and functional areas to capture current challenges, future-state goals, and key decision drivers.

HRchitect partnered closely with the client’s project team to synthesize feedback and translate it into detailed system requirements. This process ensured alignment across stakeholders and established a clear vision for a future-state HCM environment that could support the organization’s complexity and growth.

Building on this foundation, HRchitect conducted a thorough assessment of the HCM technology landscape and presented a tailored marketplace overview, highlighting vendors best suited to meet the client’s requirements. An RFP was developed and distributed to selected vendors, and HRchitect facilitated the evaluation process by analyzing responses and creating a comprehensive RFP summary report that enabled an objective, side-by-side comparison of each solution.

HRchitect also led the vendor demonstration phase, developing customized scripts to ensure each vendor addressed the client’s specific use cases and priorities. Throughout demonstrations and follow-up sessions, HRchitect guided discussions, helped the client evaluate functionality against requirements, and ensured all stakeholders remained aligned and engaged in the decision-making process. This structured and collaborative approach enabled the client to move confidently toward final vendor selection.

The evaluation process created strong alignment across stakeholders, ensuring that the selected system addressed the requirements of multiple entities and user groups within the organization.

The client gained a clear understanding of the capabilities, trade-offs, and overall fit of each vendor, allowing them to make a confident, informed decision supported by documented requirements and objective analysis. Additionally, the RFP and demonstration process helped mitigate risk by ensuring transparency and setting clear expectations with the selected vendor.

With a unified direction and executive alignment in place, the organization is now well-positioned to move forward with implementation of a modern, scalable HCM platform. The selected solution will enable streamlined HR processes, improved data visibility, and enhanced reporting capabilities, ultimately supporting more effective workforce management and decision-making across the client’s multi-state operations.
