UKG Pro Assessment & Optimization for Healthcare Facilities Management Client
Client Background
The Client is a leading healthcare facilities management company with more than 2,000 employees operating across 30 states in the United States. As part of an initiative to modernize HR operations and support a growing workforce, the organization implemented UKG Pro as its new HRIS and payroll system.
While the platform was successfully deployed and operational, the organization soon realized it was not fully leveraging the system’s capabilities. Having implemented the system without external consulting support, the Client lacked clear visibility into optimization opportunities and best practices that could improve system utilization. To address these challenges and maximize the value of their technology investment, the Client engaged HRchitect to perform a system assessment and later provide concierge-managed post-go-live support to optimize their UKG Pro environment.
The Challenge
Although the UKG Pro system was successfully implemented and operational, the Client quickly realized they were not fully leveraging the platform’s capabilities. Because the original implementation was completed without the support of an external consulting partner, configuration decisions, system utilization, and process alignment had not been fully optimized to support the organization’s HR and payroll operations.
As a result, the Client had limited visibility into where improvements could be made across system configuration, reporting, integrations, and module utilization. Additionally, the internal HR team lacked the bandwidth and specialized expertise required to identify optimization opportunities and implement enhancements. The organization needed a structured assessment and ongoing expert guidance to uncover system gaps, prioritize improvements, and ensure the platform could deliver the operational efficiencies and return on investment originally envisioned.

The Project
The Client partnered with HRchitect to conduct a comprehensive assessment of its UKG Pro environment and identify opportunities to improve system utilization and operational efficiency. HRchitect delivered consulting services through a combination of onsite and virtual collaboration, beginning with a structured system assessment that included a detailed review of existing configuration, documentation, integrations, and current platform usage across the organization.
As part of the engagement, HRchitect facilitated a three-day onsite workshop focused on reviewing business requirements, conducting stakeholder interviews, and identifying gaps between the client’s current processes and the capabilities of the UKG Pro platform. The consulting team also conducted a full inventory of system interfaces between UKG Pro and external applications, documenting integration types, data feeds, frequency, and formats to ensure data accuracy and reliability across systems. Findings from the assessment were compiled into a detailed optimization report outlining areas for improvement, along with a prioritized roadmap to guide future enhancements.
Following the assessment, the Client engaged HRchitect to provide concierge-managed post-go-live support to execute the recommended improvements. Working closely with the client’s HR and payroll teams, HRchitect assisted with implementing prioritized optimization initiatives, including configuration updates, custom report development, module deployments, integration support, data imports and extracts, and process and workflow improvements. Through ongoing advisory support and hands-on configuration assistance, HRchitect helped the organization stabilize and enhance its UKG Pro environment while enabling the internal team to operate the system more effectively.
